Lapland Resorts AB's General Terms and Conditions for Rental of Cottages, Hotel Rooms, etc.

Booking

Bookings can be made via online booking, email, or phone. For all bookings made by phone or email, the customer will be charged a booking fee of SEK 350.

The booking is valid for both Lapland Resorts AB and the customer, as soon as Lapland Resorts AB has received payment and the customer has not canceled their reservation within 10 days of the booking time.  By having paid for the booking, the customer has accepted the applicable payment and cancellation terms. It is the customer's responsibility to check the confirmation and ensure that the arrival and departure dates are correct.

Payment

When booking online, the full amount will be charged to the booker's payment card at the time of purchase. For bookings made via email or phone, a payment link will be sent to the booker's email address. Via the payment link, the booker will pay 100 % of the booking sum using their payment card. Payment must be made within 10 days of the order date; if payment is not made within this period, the stay will be canceled.

For bookings less than 10 days before the arrival date, free cancellation does not apply and payment is due immediately.

Cancellation

Cancellation can be made in writing or verbally. Verbal cancellation is only valid after the customer has received written confirmation from Lapland Resorts AB. Written cancellation shall be deemed to have occurred at the time the cancellation is received by Lapland Resorts AB.

Cancellation protection due to illness etc.

The client has the right to purchase cancellation protection at the time of booking for SEK 500 per booking. The cancellation protection can be applied up to the day before arrival. The fee for the cancellation protection is non-refundable in case of cancellation. With the exception of an administration fee of 20% of the total amount and the fee for the cancellation protection, the cancellation protection means that the client is protected against cancellation costs due to the following circumstances, which must not have been known at the time of booking:;

a) Death, illness, or accident of a serious nature that affects the client, the client's spouse, cohabiting partner, family, or travel companion.

b) Conscription into the armed forces or civil defense;

Cancellations can be made in writing or verbally. Verbal cancellations are only valid after the customer has received written confirmation from Lapland Resorts AB. Written cancellations are considered to have occurred at the time the cancellation is received by Lapland Resorts AB. In order to invoke the reimbursement rules of the cancellation protection, the customer must be able to prove the impediment with a certificate from, for example, a doctor, authority, or insurance company. The certificate should be sent to Lapland Resorts AB as soon as possible, preferably within one week of the cancellation date. In the event of an interrupted stay, Lapland Resorts AB will refund the payment made for remaining full days, provided that the interruption is due to circumstances related to points a) or b) above.

Changes

The customer has the right to make changes to their booking after approval from Lapland Resorts AB. For any changes, Lapland Resorts AB will charge a change fee of two hundred (200) SEK per change. Lapland Resorts AB reserves the right to move the customer to another equivalent cabin/room/apartment due to events beyond Lapland Resorts AB's control. If possible, Lapland Resorts AB shall inform the customer of such changes before check-in, and otherwise as soon as possible. The customer does not have the right to completely or partly omit payment of agreed fees due to changes under this provision.

Client's rights

The customer may terminate the agreement if Lapland Resorts AB does not provide the cabin/room/apartment in the promised condition or at the right time and cannot offer a comparable cabin/room/apartment. If the customer terminates the agreement on this ground, Lapland Resorts AB shall refund the entire rental amount, less any benefit the customer may have had from the cabin/room. Instead of terminating the agreement, the customer may request that Lapland Resorts AB reduce the rent.

Client's duty of care

The client shall take good care of the cottage/room/apartment and follow the rules, instructions, and regulations applicable to the facility. The client is responsible for all damages to the cottage/room/apartment and its furnishings caused by the client or anyone in the client's party being negligent. The cottage/room/apartment may not be used for any purpose other than what was agreed upon at booking, and the client may not allow more people to stay overnight in the cottage/room/apartment than what the client stated at booking. If the booking concerns a cottage, the cottage must be left in a clean condition. A cleaning fee will be charged for inadequate cleaning. All rooms/cottages and common areas are non-smoking.

War, natural disasters, strikes, etc.

The parties have the right to terminate the agreement if the cabin/room/apartment cannot be provided due to acts of war, natural disasters, labor disputes, prolonged interruptions in water or energy supply, fire, or other similar major events that could not be foreseen or influenced. If the agreement is terminated in accordance with this provision, Lapland Resorts AB shall refund any payment made by the customer, less any benefits the customer has received from the cabin/room. Lapland Resorts AB will only refund payments made by the customer in the event of transport strikes/disruptions if the transport has been booked by Lapland Resorts AB.

Complaint

Any remarks shall be made immediately during your stay to the facility or to a person designated by the facility. The customer is not entitled to claim defects if the customer does not notify Lapland Resorts AB within a reasonable time after the customer noticed or should have noticed the defect.

Dispute

In the event the customer has complaints to make and an agreement cannot be reached between Lapland Resorts AB and the customer, the customer has the option to refer the dispute to the National Board for Consumer Disputes or a general court.

 

Lapland Resorts AB's Special Terms and Conditions for Groups, Companies, Conferences, and Other Arrangements

1. Definitions

An arrangement is when premises are provided with or without accommodation and/or catering, for example for a conference, or for group and banqueting hall bookings. The customer is the person – legal or natural – who is liable for payment for the arrangement. Supplier (hereinafter LRAB) refers to the facility that provides the arrangement. The value of an order is the agreed price for the entire order or the sum of the ordered number of participants multiplied by the agreed price per participant per day, and the price for specially ordered services. Order recipient is the person at the supplier who issued the order confirmation.

2. Order

Orders can be placed verbally or in writing. LRAB's order taker will, after an approved quote, issue a booking confirmation, which the customer will return signed to them.

3. Booking Fee

An invoice for the booking fee will be sent immediately by LRAB after confirmed order. The booking fee (offset against the final payment) corresponds to 25 % of the confirmed order value and is due for payment 10 days from the invoice date, unless otherwise agreed. The booking fee is non-refundable in case of cancellation or reduced number of participants. If the booking fee is not paid, the order is not binding for LRAB and the stay will be cancelled.   

4. Special requests when ordering

If the client has special requests regarding, for example, special diets, pets, etc., these should be stated at the time of booking. The same applies if the client requires special security arrangements.

5. Valuable Property

If the customer wishes to bring high-value property and store it in LRAB's storage facilities, luggage compartments, or safes, the customer must inform LRAB of this. In case of theft or similar, LRAB is only liable for compensation if LRAB has agreed in writing to be responsible for the property.

6. Cancellation

Cancellation shall be made in writing by letter or electronic mail to the order recipient. For cancellations made earlier than 29 days before the first day of the event, the customer shall compensate LRAB with the booking fee. For cancellations made later than 29 days before the first day of the event, the customer shall compensate LRAB with 90 percent of the total order value. For cancellations made on the day of arrival, the customer shall compensate LRAB with 100% of the total order value. Should a dispute arise regarding the customer's liability for compensation, LRAB has the right to withhold any advance payment received, up to the disputed amount, until the Liability Committee has settled the dispute.

7. Payment

The client is responsible for all costs incurred according to the order. If participants on-site are to pay for the order individually, this must be approved by LRAB. If participants fail to attend the ordered event, this does not entitle them to a price reduction. Payment shall be made according to agreement. If an agreement has been made for payment by invoice, the client shall pay the full amount within 10 days from the invoice date. If this payment deadline is exceeded, LRAB has the right to charge late payment interest from the due date at the current reference interest rate plus eight percentage points.

8. Reservation for price changes

a) If costs for delivery according to the order increase as a result of increased taxes, devaluation, government decisions, or comparable circumstances, LRAB is entitled to charge an additional price corresponding to the cost increase.

b) If LRAB wishes to reserve the right to price increases, LRAB shall clearly state this in its written confirmation of receipt of the order.

c) LRAB shall immediately inform the client when additional costs are incurred.

9. Force majeure

Strike, lockout, fire, explosion, war or similar state of war, substantial restrictions in deliveries, or other circumstances beyond LRAB's control, entitle LRAB to terminate the agreement without obligation to pay damages.

10. Responsibility for Property/Causing Damage

LRAB is not strictly liable for property stored in hotel rooms or on LRAB's premises. Should it be proven that LRAB or its employees acted negligently or carelessly, or were otherwise at fault for the loss or damage of property, LRAB is liable for the lost/damaged property. LRAB is also liable for property stored in a locked storage space provided by LRAB, unless the property is of particularly high value (see section 5). The client is responsible for damage caused to LRAB through their own negligence or carelessness, or that of their participants.

11. Disputes

In the first instance, please direct any comments directly to LRAB's order reception. To resolve disputes and ambiguities regarding groups, conferences, and other arrangements, SHR's liability committee is available to the parties free of charge. SHR member companies have committed to following the liability committee's decisions.

Lapland Resorts AB's General Terms and Conditions for Activities.

Booking

The booking is valid for both Lapland Resorts AB and the customer, as soon as Lapland Resorts AB has received payment and the customer has not canceled their reservation within 10 days of the booking time. By paying for the booking, the customer has accepted the current payment and cancellation terms and conditions. It is the customer's responsibility to check the confirmation and ensure that the dates are correct.

Payment

Cancellation

If canceled more than twenty-nine (29) days before the agreed arrival date, 100% of the booking sum will be refunded. If canceled less than twenty-nine (29) days before the agreed arrival date, 10% of the booking sum will be refunded. In case of cancellation on the arrival day or no-show, no refund will be given. Any paid fee for cancellation protection will not be refunded.

If the customer terminates the agreement on this ground, Lapland Resorts AB shall refund the full price less the benefit the customer may have had from the Activity. Instead of terminating the agreement, the customer may request that Lapland Resorts AB reduce the price.

War, natural disasters, strikes, etc.

The parties have the right to withdraw from the agreement if the Activity cannot be provided due to acts of war, natural disasters, labor disputes, prolonged interruptions in water or energy supply, fire, or other similar major events that could not have been foreseen or influenced. If the agreement is withdrawn in accordance with this provision, Lapland Resorts AB shall refund what the customer has paid, minus the benefit the customer has derived from the activity. Lapland Resorts AB will only refund what the customer has paid in the event of transport strikes/disputes if the transport has been booked by Lapland Resorts AB.

Terms and Conditions for My Accommodation Page – Lapland Resorts AB

My page is a feature in our booking portal BookVisit that allows you to update, change, and cancel your accommodation booking online without being charged a change fee.

1. General

By registering an account on ”My page”By using our booking system (BookVisit), you become a member of Lapland Resorts AB. Membership is free of charge and aims to provide you with a smoother booking experience and access to personal benefits.

2. Scope of Membership

As a logged-in member My page do you have access to:

  • Booking Management Ability to view, manage, and in some cases change your existing bookings (according to applicable cancellation policies).

  • Smoother booking flow: Your personal details will be pre-filled automatically for future bookings.

  • Exclusive offers Access to member-exclusive prices, packages, and early access to promotions (if applicable).

  • History An overview of your previous stays with us.

3. Processing of personal data (GDPR)

We value your privacy. When you create an account, we process your personal data in accordance with the General Data Protection Regulation (GDPR).

  • Purpose We save names, contact details, and booking history to administer your membership and provide our services.

  • Storage The data is saved as long as you have an active account with us.

  • Third party Your data is handled securely through our system partner BookVisit, but is never sold to a third party.

  • Your rights: You have the right to request access to, correction of, or deletion of your data at any time.

4. Member's Responsibility

  • You are responsible for ensuring that the information you provide is accurate and up-to-date.

  • Login credentials are personal and should be handled with care to prevent unauthorized access.

  • Misuse of membership or violation of our booking terms may lead to account termination.

5. Changes to bookings via My page

Please note that changes to dates or room types via My page are subject to availability. Any price differences or amendment fees (according to our standard booking conditions) will be charged at the time of the change.

6. Termination of Membership

You can choose to close your account at any time by contacting our customer service at [Email Address]. We will then delete your account information but will retain statutory information required by accounting law for completed purchases.
